The International Journal of Emerging Philosophy (IJEP) is committed to protecting the privacy of all individuals who interact with our journal, including authors, reviewers, readers, and subscribers to our communications. This Privacy Notice explains what personal data we collect, how we use it, and the rights available to you.

Data We Collect

We may collect the following categories of personal data:

  • Contact information: Name, email address, institutional affiliation, and ORCID identifier, provided when submitting a manuscript, registering as a reviewer, or subscribing to journal communications.
  • Submission data: Manuscript files, cover letters, author declarations, and review reports processed through our Open Journal Systems (OJS) platform.
  • Usage data: Aggregated, anonymised information about how our website and OJS platform are used, including page views and download statistics. This data does not identify individual users.
  • Correspondence: Communications exchanged between authors, reviewers, and editors during the submission and review process.

How We Use Your Data

Personal data collected by IJEP is used for the following purposes:

  • Processing and managing manuscript submissions through the OJS platform
  • Conducting the peer review process and communicating decisions to authors and reviewers
  • Sending editorial correspondence, including submission confirmations, review invitations, and decision notifications
  • Publishing accepted articles, including author names and affiliations as supplied by authors
  • Maintaining records for the purposes of editorial integrity and publication history
  • Sending updates about IJEP’s activities to subscribers (opt-in only; unsubscribe at any time)

Data Sharing

IJEP does not sell, rent, or trade personal data to third parties. We may share data with the following categories of third party where necessary to fulfil the purposes described above:

  • OJS platform provider (PKP): Manuscript and user data are processed by the Open Journal Systems platform hosted by the Public Knowledge Project.
  • DOI registration agency: Author names, article titles, and metadata are submitted to our DOI registration agency for the purpose of assigning persistent identifiers.
  • Indexing services: Article metadata, including author names and affiliations, may be shared with indexing and abstracting services (e.g. PhilPapers, DOAJ) for the purpose of promoting discoverability.

Data Retention

IJEP retains personal data for as long as is necessary for the purposes described in this Notice. Correspondence and submission records relating to published articles are retained indefinitely as part of the editorial record. Data relating to rejected manuscripts is retained for a minimum of five years from the date of rejection.

Your Rights

Depending on your jurisdiction, you may have rights including the right to access, correct, or request deletion of personal data we hold about you. To exercise any of these rights, or to raise a concern about how your data is being handled, please contact us at editors@emergingphilosophy.org.
